Last updated 22 October 2026
This notice covers this website, the early access list, process enquiries, and the SE Desk app at app.se-desk.com, including the Gmail and Google Calendar data you connect to it. The Security page explains how that data is protected.
The website and early access list
What we collect
- What you enter in the early access form: name, work email, company, role, team size and the meeting note taker you use.
- The page you signed up from.
- Standard server logs kept by our hosting provider, such as IP address and browser, for security.
This website sets no advertising or tracking cookies.
Why we collect it
To contact you about early access to SE Desk, to understand which teams are interested, and to choose which tools SE Desk connects to first. We don’t sell it, and we don’t add you to a marketing sequence.
How long we keep it
Until early access ends, or sooner if you ask us to delete it.
Process enquiries
What we collect
- What you enter on the Customise page: name, work email, company, role and team size.
- The process you sketch or describe, what you need from us, the tools you use, your timeline and notes.
- The page you sent it from.
Until you send it, your sketch is kept only in your own browser. Please describe your process, not your deals: leave out client names.
Why we collect it
To understand what you need, scope it and send you a quote. When you send an enquiry, an email delivery provider sends our team a notice with what you entered.
How long we keep it
24 months after you send it, or sooner if you ask us to delete it.
The SE Desk app and your Google data
What we access
When you connect Google, you choose to give SE Desk:
- Read only access to Gmail (gmail.readonly).
- Read only access to Google Calendar (calendar.readonly).
- Your Google email address, so we know which account is connected.
SE Desk cannot send, change or delete an email or a calendar event.
How we use it
- We search your mail only for the client organisations you add to SE Desk, by the email domains and contacts you give us.
- We read those emails to propose tasks, dates, questions, contacts and stage changes for each client. Every proposal waits for you to approve or dismiss it.
- We write a one line summary of each email with a client, to build that client’s activity history.
- We read calendar events whose attendees include a client, to record meetings on that client’s record.
- We look at emails you have sent to your clients, to spot ones you keep sending and offer them to you as reusable templates.
We use Google data only to provide these features to you.
What we store
- One line summaries of client emails, and the message and event IDs they came from.
- Proposals with a short quote from the email they rest on, which you review.
- Meeting titles, times and attendee addresses for client meetings.
- Client contacts you approve: name, email address and role.
- Templates you save or that we propose, written without any client or person named.
- Your Google access token, encrypted. The app can see which address is connected, never the token.
We do not store the full text of your emails.
Who processes it
- An AI model provider reads the text of the client emails we select and returns the proposals and summaries above. Under its commercial terms it may not train its models on this content.
- A managed database provider stores your SE Desk records. A cloud hosting provider runs the app.
- Google provides Gmail and Calendar.
Ask us for the full list of providers and where they are based: hello@se-desk.com.
We do not sell Google data, share it with anyone else, or use it for advertising.
Who can see it
Your records are private to you. If your company uses SE Desk as a team, your manager can see your client records and when emails with a client happened, never the email summaries, quotes or text. No person at SE Desk reads your Google data unless you ask us to for support, it is needed for security, or the law requires it.
Limited Use
SE Desk’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data to develop, improve or train generalised AI or machine learning models.
Keeping and deleting it
- Disconnect Google on the Engine page at any time. Google’s access is cancelled and SE Desk stops reading straight away. You can also remove access from your Google Account settings.
- Deleting a client in SE Desk deletes its records.
- To delete your account and everything we hold, email hello@se-desk.com. We delete it within 30 days.
Your choices
To see, correct or delete what we hold about you, email hello@se-desk.com. We’ll reply within 30 days.
